Field service software for HVAC companies

HVAC work comes in waves. Tune-ups fill the shoulder season, the first hot week turns every phone into a no-cool call, and install crews need two people and most of a day. LLUMIFIELD gives a small HVAC company one schedule for all of it, plus the maintenance billing and the paperwork around replacements.

One flat plan per company: $99.99 a month, $49.99 a month for your first 3 paid months, with unlimited users. Every new company gets a 14-day free trial, no credit card required.

How common HVAC work runs

The workHow it runs in LLUMIFIELD
No-cool or no-heat callAdd the job to the unassigned column, drag it to whoever is closest, and send an On My Way text with an ETA. Turn on client history and the tech can see what was done last time.
Seasonal tune-up routeSet recurring jobs for each client, then use route optimization to order the day and cut drive time.
System replacementSend an estimate with photos per line, or offer 2 to 4 options as contracts so the customer picks one and signs online. Take a deposit when they accept the estimate.
Installation crewSend a two-person crew, use multi-day jobs for bigger installs, and require checklist items or photos before the job can be closed.

Run maintenance plans with parts you already have

LLUMIFIELD has no separate maintenance-agreement module, and we would rather say so up front. What it has are the three pieces most small shops need:

If you sell plans by the hundreds and need member pricing, plan-level reporting and renewal automation in one place, a dedicated module will serve you better. See FieldPulse and ServiceTitan.

Give the customer a real choice on a replacement

Repair or replace is rarely a one-line decision. With the optional Contracts module you can group 2 to 4 draft contracts for one client into an option set, send them together, and let the customer choose one on the signing page. For simpler jobs, a regular estimate with Accept and Decline buttons is faster. Either way, read how to send estimates that get approved faster before you send the next one.

Keep equipment notes where the next tech will find them

Projects have an equipment list, and photos, notes and documents stay on the client and the project. A photo of the nameplate on the job is often enough for a small shop. It is not a full asset register: there are no per-unit service histories or warranty tracking.

Find out whether install season paid off

Pick HVAC at setup and hourly items and installed services are costed as crew time, while equipment and parts are costed by receipt. Labor from payroll and drive time from the route feed the same job costing report, which ranks your jobs by margin. That is how you find out whether the busy weeks made money or just kept everybody tired.

Frequently asked questions

Can LLUMIFIELD handle HVAC maintenance agreements?

Yes, with recurring jobs, recurring invoices and e-signed contracts with expiry and renewal notices. It does not have a dedicated maintenance-agreement module with member pricing, so larger plan programs may need one.

Can a customer choose between replacement options online?

Yes. The optional Contracts module can send 2 to 4 options together as an option set. The customer picks one on the signing page.

Does it charge per technician?

No. One flat plan per company: $49.99 a month for your first 3 paid months, then $99.99 a month, with unlimited users. Seasonal hires do not change the bill.

Does it optimize routes?

Yes. Route optimization orders a technician's day, and scheduling takes travel into account. It uses your jobs and addresses, and it hands the route off to the phone's maps app for driving.
