Privacy Policy
This Privacy Policy explains how LLUMIFIELD ("we", "us", "our") collects, uses, and protects information from visitors to llumifield.com and from people who request or hold a LLUMIFIELD account.
Information we collect
- Information you give us: email address, trade, team size, and any details you submit through the request-account form or by emailing support@llumifield.com.
- Account information: if you sign up for a LLUMIFIELD account, we store your profile, company configuration, scheduled appointments, clients, projects, invoices, and any media or notes you upload.
- Technical information: standard request metadata (IP address, user agent, timestamps) used for security, abuse prevention, and operational logs.
- Marketing analytics: Google Analytics 4 may collect browser, device, referrer, approximate-location, page-view, and interaction data through its tag and cookies.
How we use it
- Reply to your inbound request and set up your account.
- Operate the LLUMIFIELD service for you and your team.
- Send transactional emails (account changes, billing, security).
- Aggregate, de-identified analytics to improve the product.
We do not sell your information. We do not run ad-targeting cookies on this site.
Sharing
We share information only with subprocessors that help us run the service: hosting, marketing analytics (Google Analytics), transactional email, payment processing (Stripe), your accounting export provider (when you connect one), push notification delivery, and SMS delivery. Each subprocessor receives only the data they need.
Google user data
If you connect Google Calendar, LLUMIFIELD requests only the calendar.events permission and accesses events on the connected account's primary calendar. We create and update events for appointments scheduled in LLUMIFIELD, and import events you create in Google Calendar so your technicians are not double-booked. We store the event identifiers and the times, titles, and descriptions needed to keep the two calendars in sync, along with an encrypted access token. We never read or change your calendar settings, sharing, or other calendars.
LLUMIFIELD's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not allow humans to read it except with your permission, where necessary for security, or to comply with law. Disconnecting Google Calendar in Admin → Google Calendar deletes the stored tokens and stops all further access; you can also revoke access from your Google Account permissions page.
AI assistants and your data
LLUMIFIELD contains no AI or machine-learning features of its own, and our servers send your data to no AI provider. You may optionally connect your own AI assistant account to your own LLUMIFIELD data through the MCP connector, which you authorise and can revoke at any time; in that case the assistant is operated by you under your own agreement with its provider, and we hold no account or contract with them.
Google Calendar data is excluded from that connector. Appointments imported from a connected Google Calendar are flagged when they arrive and are withheld from every MCP read path, so Google user data is never transferred to a third-party AI service, whether raw, aggregated or derived, and is never used to train or improve any model. Appointments you create in LLUMIFIELD remain available to an assistant you connect.
Data retention
Account data is retained while your account is active. If you close your account, we delete or anonymize identifiable data within 90 days unless we are required to keep it for legal, tax, or audit purposes.
Your rights
You can request access, correction, or deletion of your information at any time by emailing support@llumifield.com. We respond within 30 days.
Security
LLUMIFIELD uses encrypted transport (HTTPS), encrypted credential storage, role-based access controls, optional two-factor authentication for admins, and audit logging on sensitive actions. No system is perfectly secure; we work hard to keep yours protected.
Children
LLUMIFIELD is built for businesses and is not directed to children under 16.
Changes
We will update this policy as the product changes. Material updates are noted at the top with a new "Last updated" date.
