Delete your LLUMIFIELD account

This page explains how to delete your LLUMIFIELD account and the data associated with it — from inside the app, or by emailing us. It applies to the LLUMIFIELD Field Service app (com.llumifield.fieldserviceapp) and to the LLUMIFIELD web app, which share the same account.

How to delete your account

In the app

You can delete your own account without contacting us. The steps are the same on Android, iOS, and the web app:

1. Open Settings, and scroll to Delete Account at the bottom.
2. The screen lists exactly what will be deleted and what we are required to keep.
3. Confirm with your password — plus your authenticator code if you use two-factor sign-in.

Your data is removed straight away, apart from the records listed under What is kept below. If your free trial has ended and you are sitting on the subscribe screen, there is a Delete my account link there too — you do not have to pay to close your account.

What you can delete depends on your role

• Staff and technicians, and administrators who are not the only one — deleting your account removes you only. The workspace and everyone else in it are untouched.
• If you are the only administrator — your account cannot be removed on its own, because that would leave the workspace's clients, projects, appointments, and invoices with no one able to reach them. You can either make someone else an administrator first and then delete just your own account, or delete the whole workspace, which asks you to type DELETE to confirm and cancels the subscription.
• Closing a workspace that has more than one administrator — email us, as below. It is not one person's alone to close.

By email

Use this if you cannot sign in, or if you want us to close a workspace that has several administrators:

1. Email [email protected] from the email address on the account, with the subject Account deletion request.
2. Tell us whether you want your user account only, or your whole company workspace and everything in it.
3. We confirm the request by replying to that email address, so nobody else can close your account.
4. Once you confirm, we delete the data as described below.

If you are a technician or staff member on someone else's workspace, your administrator can also remove your user account directly from Users and permissions inside the app.

What is deleted

When you delete your user account

• Your profile: name, email address, phone number, job title, and profile photo.
• Your sign-in credentials and any two-factor authentication enrolment.
• Push notification tokens for your devices.
• Your personal calendar subscription link, and access for any AI apps or assistants you connected to your account.

When the whole workspace is deleted

Everything above, for every member of the workspace, plus:

• Clients, projects, appointments, daily logs, tasks, and notes.
• Any photos, videos, and documents uploaded to them.
• The workspace's Google Calendar connection and any accounting integrations, so we stop reading and writing your calendar events. (This connection belongs to the workspace rather than to one person, so it is only removed when the workspace is.)
• The subscription, which is cancelled.

What is kept, and for how long

Identifiable data is deleted or anonymised within 90 days of your request.

We keep a limited set of records beyond that where the law requires it:

• Invoices, estimates, receipts, and payment records are retained for legal, tax, and audit purposes. Where we can, we anonymise the personal details on them instead of deleting the financial record.
• Security and audit logs of sensitive actions are retained for abuse prevention, then expire on their normal schedule.

Backups are overwritten on their own rotation, so a copy of deleted data can persist in backups for a short period after deletion before it is cycled out.

Payments

Card payments are processed by Stripe and card details are never stored by LLUMIFIELD. Deleting your LLUMIFIELD account does not delete records held by Stripe; see Stripe's privacy policy for their retention.
